2. Name of the register
TechDocuments Oy client, enquiry and marketing register.
3. Purposes and legal bases
- Answering enquiries and preparing quotes: pre-contractual steps and performance of a contract (Art. 6(1)(b)).
- Client relationships and projects: contract (Art. 6(1)(b)) and legitimate interest (Art. 6(1)(f)).
- Business-to-business direct marketing and sales, such as an email to a company representative about their professional role: legitimate interest (Art. 6(1)(f)). The legitimate interest is offering electrical design services to companies whose business they relate to. Messages are sent only to work-related addresses, and every message explains how to opt out.
- Invoicing and bookkeeping: legal obligation (Art. 6(1)(c)).
4. Data processed
Name, job title, company, work email, work phone, company address and website, content and timing of communication, quote and project details, and any marketing opt-out.
5. Data sources
Data is received from the data subject, for example by email, phone or the contact form. For business-to-business marketing, data is also collected from public sources: company websites, the Finnish Business Information System (YTJ) and public professional profiles such as LinkedIn.
6. Recipients and processors
Data is not sold or disclosed for marketing. Providers of email, cloud, website hosting and bookkeeping services process data on the controller’s behalf under appropriate agreements. Data may be disclosed to authorities where required by law.
7. Transfers outside the EU/EEA
Some providers, such as email and cloud services, may process data outside the EU/EEA. Such transfers rely on a European Commission adequacy decision (for example the EU–US Data Privacy Framework) or the Commission’s standard contractual clauses.
8. Retention
Marketing data is kept for up to 24 months from the last contact unless a client relationship begins. Opt-outs are kept so they can be respected. Client and project data is kept for the duration of the relationship and afterwards as long as liabilities and claims require. Bookkeeping records are kept for the period required by the Finnish Accounting Act.
9. Your rights
You have the right to access, rectify and erase your data, to restrict processing and to object to it. You can opt out of direct marketing at any time by replying "no thanks" or by writing to info@techdocuments.fi. Requests are handled without delay and within one month at the latest. You may lodge a complaint with the Office of the Data Protection Ombudsman (tietosuoja.fi).
10. Website
The site uses no analytics or advertising cookies. Your language choice is stored in your browser’s local storage and is not sent to the server. Fonts are loaded from Google Fonts, which passes your browser’s IP address to Google. The contact form opens a message in your own email app and no form data is stored on the site. Technical server logs are kept by the hosting provider for security.
11. Security
Data is kept in systems protected with user accounts and passwords, accessible only to people who need it for their work.
